We are recruiting for a Business Support Administrator to join our team to provide administration support for the HR, pre-sales / sales, project delivery and reception business areas.
The ideal candidate will be an enthusiastic team player with excellent administration and organisation skills with an excellent knowledge of Microsoft Office.
Key Responsibility Areas:
HR
Administration support of the new starter and leaver process for the Group.
Assisting with tracking probation periods, scheduling review meetings and documenting outcomes to employees.
Audit preparation of HR files.
Assisting with the control of the access card system including issuing and cancelling access cards.
Assisting with training administration.
Administration of all reference requests and responses for all new employees and ensure these are received back in a timely manner and recorded on the HR database and any references not received are escalated to the line Manager and the HR Officer.
Support of the e-learning platform requirements
Assist with any ad hoc HR duties.
To ensure that HR and Business Support phones are answered whenever possible within three rings (Company standard), this is joint responsibility with the team.
Assisting with any mail shots to be sent by the HR department.
Responsible for the PAYE visa checks and expiry escalation.
Preparation of induction process and liaising with line Manager’s to complete induction plans.
Assisting with allocation of mobile phones and tracking of changes.
Reception:
Providing cover for reception at lunch times and during absences which includes: answer telephone, screen and direct calls
manage the sign-in register - ensure everybody signs in and out and conduct daily checks
assistance with stationary orders
ordering and maintaining kitchen stock levels
responsible for all printers around the office including ordering consumables, reporting broken printers etc
Sales / Pre-sales Support:
General office administration for sales and pre-sales including photocopying, scanning and shredding.
Pre Qualification Questionnaire (PQQ) / tender document collation including formatting and printing of these documents.
Assist with inputting of data into the CRM database.
Sales order processing - assisting with living of projects and revisions on the relevant system.
Project Delivery:
Collation and data entry of weekly timesheets for both employees and sub-contractors.
Assistance with health and safety administration for projects.
Assist with administration of relevant online portals and associated documentation requirements.
Brady label requests.
IMS requests.
General
Travel and accommodation reservations.
Hire vehicle reservations.
Filing
Assistance with subcontractor requests and associated administration.
