Job Description
Our client is a prominent performing arts establishment in Kensington. They are seeking an experienced Administrator to support their Engagement Team on a temporary basis, looking to go permanent after 3 months.

As Administrator your duties will include:

* Being the first point of contact for enquiries
* Managing filing systems
* Office duties such as stationery orders
* Preparing letters, schedules, contracts and copy for the organisation's websites/brochures, etc., as well as contracts and confirmation letters across the department's programme of activities
* Room bookings, scheduling meetings and producing agendas
* Diary management and booking of travel/accommodation
* Organising couriers
* Managing budgets - processing payment and invoices, analysing data, producing reports
* Making sure departmental budgets are up to date
* Using content management systems to maintain the website/database
* Using software such as Microsoft Word, Excel, Access, Powerpoint, Tessitura and Raiser's Edge
* Ensuring effective communication between the Engagement Department and other departments / external contacts
* Dealing with staff - scheduling new staff inductions, supervising placements and delegating work when required, arranging DBS checks for staff and contractors via HR
* Some PA work for the Engagement Director
* Liaising with the Engagement, Development and Marketing teams to set up and monitor online sales/events bookings as well as to coordinate and monitor ticket holds across the department's activities

The ideal candidate will:

* Display a clear passion for performing arts, with previous experience of working in a creative industry
* Be experienced working in a high-pressure environment
* Be able to type at least 50wpm
* Have experience using Raiser's Edge and a strong working knowledge of both its, and Tessitura's, databases
* Be an excellent communicator, both written and verbally
* Possess strong numeracy skills and be confident with budgets/financial management
* Have excellent attention to detail
* Be able to manage pressure and prioritise a busy workload
* Have a respect for confidentiality and the ability to be discreet
