Job Description
  • Administration duties to support and drive the Biologics & Marketing Division forward.
  • This role will provide support to Divisional Manager and teams
  • Management of high level and complex diaries for designated Division Managers.
  • Support Marketing Managers on projects such as developing sales strategies, marketing campaigns, and collect and interpret marketing analytics
  • Scheduling internal and external calls / meetings and travel dates.
  • Schedule all travel, including flights, hotels and cab transfers using the designated Lonza travel company.
  • Complete expense reports on behalf of respective Division Managers, ensure all reports are submitted and approved in designated timeframes.
  • Meeting co-ordination support for both internal and external meetings, including room booking, hospitality, agenda and attendance.
  • Raising Purchase Requisitions for the purchase of goods and services, as required and completion and maintenance of spend tracker.
  • Administration and maintenance of SharePoint sites and associated access trackers.
  • Creation of new and update of current Administration Work Instructions.
  • Preparation of presentation materials.
  • Manage on-boarding for new starters prior to start to ensure a smooth start and that they are set up on all relevant systems.
  • General administration as requested by respective Managers, including special Projects.

Required Knowledge, Skills, and Abilities
  • Experience of working as a PA of senior leadership teams
  • Experience of working in Marketing to support the Marketing Division on Project work / Project Management
  • Experience of working with senior leadership teams
  • Experienced use of Microsoft Office (Excel, Word, PowerPoint, Access and SharePoint) and SAP.
  • Good command of both written and oral English.
  • Capable of organizing and prioritizing heavy and diverse workload with accuracy and minimal supervision while meeting critical deadlines.
  • High level of attention to detail.
  • Highly effective team player with strong interpersonal and administrative technical skills.
  • Ability to interact with all levels of employees in a courteous, helpful and professional manner.
  • High flexibility on working hours, willingness to work overtime in exceptional cases
  • Extrovert personality with strong communication and organizational skills
