Job Description

You will be organizing and managing the reception/admin office and coordinating all administrative functions in order to enable the smooth running of the school. You will be managing a team of administrators and delegating tasks where appropriate.
Main responsibilities will involve:

  • Receptionist’s duties including dealing with incoming emails, phone calls and visitors
  • Student services such as uniform lending system, stationery sales, padlock rental system, mobile phone safekeeping
  • Receiving deliveries, receipting deliveries and arranging internal deliver
  • Procedures for managing first aid
  • Procedures for managing medical conditions and arranging vaccinations
  • Managing Salto access fob system
  • Managing administrative processes relating to trips
  • Providing admin support for school events, to ensure catering, premises impact, lettings impact and parental communication have all been considered
  • Managing lunch registers and ensuring parents are charged correctly
  • Managing photocopiers, and photocopying tasks
  • Managing stationery supplies and the admin budget
  • Line management responsibilities of receptionists/administrators
  • Collecting new student data and inputting into systems
  • Ad-hoc administrative tasks as requested by school staff

Required Knowledge, Skills, and Abilities
  • NVQ level 4 or equivalent qualification or experience in relevant discipline
  • Several years’ experience working in an office environment at a senior level (in or outside education)
  • Ability to organize, lead and motivate other staff
  • Excellent numeracy/literacy skills
  • Effective use of specialist ICT packages
  • Use of specialist equipment/resources
  • Full working knowledge of relevant polices/codes of practice/legislation
  • Ability to plan and development systems
  • Ability to relate well to children and adults
  • Work constructively as part of a team, understanding school roles and responsibilities and your own position within these
  • Ability to self-evaluate learning needs and actively seek learning opportunities
  • A fundamental belief that all children can achieve great things, no matter what their background or prior experiences.
  • An ability and willingness to empathize and listen, and to be self-critical and reflective.
