Job Description

We are currently recruiting for a temporary Development Assistant to work onsite at one of our centrally based departments starting ASAP for approx. 12 weeks working 36.5 hrs. p/w and paying £14.29 p/h

  • To support the Donor Relations, Events and Legacies team with administration to ensure the smooth running of the team. This will include the co-ordination of a number of standalone projects 
  • To support the Head of Communications with the scheduling and logistics of appointments and to provide administrative support as and when required.
  • To provide administrative support during the preparation phases of high profile major donor and prospect events. This will also include assisting with the smooth running of events on the day.
    • To produce documents to a high standard using word processing and spreadsheets; to assist with mailings (Inc. mail merging large and complex data), correspondence, and note taking of meetings, and to ensure that this information is appropriately entered in the fundraising database and/or the relevant network drive.
    • Training will be given on the use of the network drives, and the Development Assistant will be expected to carry out entries and enquiries on the fundraising database.
    • To handle much of the internal communication with colleagues in the colleges and across the University and on occasions to act on his/her own initiative.
    • To assist in dealing with the many influential people external to the University involved in University fundraising, including volunteers, and prospective and existing donors.
    • To act if appropriate in the place of team members when they are absent or unavailable by responding to queries in a timely and efficient manner to maintain the smooth running of the operations.
    • To manage incoming routine correspondence and telephone calls and to ensure that important correspondence and messages are relayed to the appropriate member of the team.
  • To keep electronic filing and other administrative procedures for the Head of Donor Relations, Events and Legacies up-to-date, including submission of expense claims.
  • To ensure all donors are acknowledged and thanked by the department and the relevant team, including the preparation of correspondence for the Head of Donor Relations, Events and Legacies.
  • To ensure a good working relationship between the fundraising team and College fundraisers, and to promote the sharing of information, in line with agreed principles and protocols.
  • To provide assistance when necessary to Operations. This support will be provided on a Rota system.
  • Flexibility and teamwork are essential in this area and from time to time these duties may become top priority, e.g. to ensure reception and telephones are covered.

Required Knowledge, Skills, and Abilities
  • Experience in higher education and in particular an understanding of Oxford University, and its goals in teaching and research.
  • Experience in fundraising, customer care or alumni relations.
  • Experience of working in a busy office environment.
