Job Description

The role is looking for an individual on a remote/hybrid working basis for an initial 12 month fixed term contract to support the Medical affairs team with planning and project managing medical events, conferences and meetings. 

This Project Coordinator 12 month ftc will carry out a range of the following duties and responsibilities;

  • Assistance with projects and activities within one or multiple areas of International Medical Affairs Head Office with a focus on HCP (Healthcare Professional) engagement to include support with contracting process using internal HCP ENGAGE system as well as other related tasks. Monitoring payments post-activity.
  • Assistance with internal and external logistical meeting requirements. This could include booking flights, hotel accommodation and meeting space as well as liaison with stake holders, vendors and liaison with internal conference team.
  • Assistance with approval process of medical meeting materials with adherence to quality and compliance standards within required timelines.
  • Administration support to include budget management, cross check and analysis of data, new vendor set up, PO creation, execution of vendor agreements, invoice tracking and follow up of payment queries as well as other ad-hoc items as required.
  • Provide support to Medical Operations Director as needed in project areas.

Required Knowledge, Skills, and Abilities
  • Experienced Project Coordinator or administrator with great attention to detail ideally supporting on administration tasks of large scale projects
  • medical events/meeting planning background
  • Experience of working in a large or global organization or agency - Ideally Pharmaceuticals related
  • Ability to understand/work with various online IT systems including Microsoft Office suite
  • Stakeholder Management
  • Task orientated with high agility, good time management, able to deal with high workload in peak times
  • Project management skills
  • Financial acumen
  • Self-starter
