Job Description

This new role is an exciting opportunity to take the lead in establishing, organizing and providing ongoing administrative support for the wide-ranging work of a recently appointed Professor, and to support them in their dual remit within the Department to provide excellent research leadership and to drive strategic developments across the department to strengthen its international research standing.

The worker will provide the usual range of Executive Assistant (EA) support to the Professor including the provision of financial and administrative support. Most importantly the successful candidate should have a wide-range of administrative experience and a flexible approach in order to accommodate the administrative and financial support needs of this dynamic, developing and ambitious work programme.

Responsibilities/duties

  • Managing the Professor's diary and correspondence, using initiative to resolve the competing demands on his time and liaising with a wide range of colleagues across the department, university and beyond.
  • Maintaining the Professor's CV and list of publications and tailoring for specific use as required.
  • Devising and implementing new office administrative and reporting systems to assist in the administration and financial management of the work of the Professor and their team and producing and maintaining a project website to reflect this work.
  • Supervising the day-to-day administration of the International Professorship award, including researching and preparing reports and briefings for senior staff at the University and beyond.
  • Responsibility for the provision of administrative support to researchers, students and academic visitors associated with the LIPS including supporting the recruitment of post-doctoral research associates and graduates,
  • Gate-keeping and filtering of demands on the Professor's time – from replying to a range of issues on behalf of the Professor through to responding directly to enquiries and managing the subsequent flow of the work generated.
  • Organizing events, lectures and meetings in person, online, within the department and in the wider community, including coordinating a weekly series of seminars and managing the requirements of the invited speakers.
  • Making complex national and international visa and accommodation arrangements, including the provision of insurance, where necessary.
  • Coordinating meetings and committees associated with the Professor's work including organizing business, preparing agendas, writing minutes and ensuring business is dealt with in a timely manner ensuring that actions and decisions are effectively implemented.
  • Liaising with other members of the administrative team in the department, across the Division, the wider university and the research community in order to ensure that business and research priorities are met and that best working practices are shared.
  • Undertake such duties as might reasonably be required of the worker including working within other sub-departments and buildings.
  • Undertake mandatory training as required by the University, Division and Department.
  • Some work outside normal office hours may occur to support lectures, conferences, and meetings (advance notice will be given).
