Job Description
  • Supporting the Human Resource team by organising disciplinary, grievance, diversity, sickness, maternity and capability issues interviews, hearings and appeals.
  • Distributing appropriate paperwork and assisting in arranging and taking high quality minutes.
  • Providing basic procedural advice on HR policies and procedures and escalating complex matters where necessary to HR business partners.
  • Developing, managing and maintaining workforce information on the People HR system, ensuring that employee details are entered accurately and up to date information is processed appropriately.
  • Maintaining online admin systems to support HR processes including standard letter templates and forms, recruitment and training records, starters & leavers, and other electronic systems.
  • Ensuring that HR transactions and staff changes are processed on system, working with the Senior Payroll & Finance Officer to integrate HR/payroll processes so that staff are paid accurately and on time.
  • Providing support in the recruitment and selection process, drafting job advertisements, liaising with chosen media or agency, sending out application packs, recording all applications on the recruitment recording spreadsheet, organising shortlisting including packs and panels, arranging interviews, producing interview/ unsuccessful letters and taking part in recruitment interviewing.
  • Producing offer letters, obtaining references, completing right to work and DBS checks, occupational health screening, unconditional letters, contracts and equal opportunities statistics.
  • Assisting in the organisation of recruitment campaigns, open days and events to encourage new recruits.
  • Ensuring all staff receive timely induction and providing HR input to the induction process.
  • Dealing with telephone enquiries and the preparation of replies as appropriate, preparing written replies as appropriate in liaison with the Director of People and HR Business & People Partners.
  • Undertaking HR project work as directed by Director of People and HR Business & People Partners.
  • Updating and maintaining the HR Folder on the internal shared drive.
  • Liaising with the Finance team on all matters relating to employee remuneration and pension.
  • Ensuring that appropriate stocks of stationery, manuals and booklets are maintained.
  • Uploading documents onto People HR and file papers to maintain accurate and up to date personal files and ensuring all files including electronic files on systems are secure.
  • Assisting in the administration and recruitment of international volunteers, including arranging visas and other documentation, assisting in arranging timetables and in the management of volunteers on arrival.
  • Participating in all parts of the department's work and any other ad-hoc administrative duties as may be required.
