Job Description

To provide a professional and efficient service to the finance function, monitoring how much is owed at all times and providing accurate financial information to the Finance Director as required.

Key Tasks:

  • Maintain purchase ledger to ensure that only properly authorized invoices are entered onto the system, that suppliers are paid on time and that major suppliers are paid close to the due date, making payments wherever possible.
  • Have sufficient knowledge of the other accounting jobs to assist the Finance Department as necessary.
  • Proactively represent Finance in Departmental meetings, feeding back key developments/changes to the Finance team.
  • Receive, check and log supplier invoices, ensure the system has associated purchase order with relevant authorization and ensure purchase order goods/services have been appropriately “received” on system prior to payment.
  • Check nominal coding of authorized purchase invoices.
  • Maintain purchase ledger on the system.
  • Open new accounts and obtain bank details and email addresses.
  • Produce both manual and electronic journals as necessary.
  • Produce a schedule of selected invoices for payment in accordance with Centre policy.
  • Produce a “payment run” schedule from the system for payments and procure approval signatures. Where appropriate prepare and mail remittance advices.
  • Check posting of all payments to the purchase ledger on the Ungerboeck system.
  • Examine suppliers’ statements to identify missing invoices, arrange for copies, carry out ledger reconciliations, resolve account queries and invoice errors with suppliers.
  • Produce monthly reconciliations of the purchase ledger control account with the nominal ledger control account.
  • Use banking system to transfer funds, to pay suppliers, to make up international payments and to produce bank reports.
  • Maintain spreadsheets of taxi costs and sub contractors’ costs.
  • Review and update procedures to ensure they are fit for purpose in current economic climate and provide best return for investment.
  • Prepare variance analysis on actual versus budgeted expenditure.
  • Refine month end close procedure for departments to reduce the month end timeline.
  • Act as support for other functions during absences.

Required Knowledge, Skills, and Abilities
  • Understanding and experience of accounting functions & packages (Ungerboeck would be advantageous but not essential).
  • Technical knowledge and ability to produce financial information working to tight deadlines.
  • Purchase ledger query and reconciliation experience.
  • Exceptional communication, organizational and record keeping skills.
  • Excellent team working skills, good team player working collaboratively across the organization.
  • Self–disciplined and efficient, with a flexible and proactive nature.
  • Strong IT skills and experience using software packages such as O365 (all modules), accounting software plus CRM experience.
  • Previous experience in a commercial account’s environment would be beneficial.
  • Experience and knowledge of the events industry or venues sector
  • Understanding of how government operates and the importance of compliance with government policy and procedures.
