Job Description

We’re looking for a full-time Office Manager to work closely with the COO, CEO and Finance Team in order to balance existing and future work and constantly improve company efficiency, particularly during growth. We need assistance in running the operation smoothly and ensuring that the Directors and team are properly supported.

Responsibilities Include:

  • Assist COO and CEO directly with the company-wide organization and administration. 
  • Lead stock and inventory control.
  • Lead orders, invoicing, payments, purchasing. 
  • Lead expenses, timesheets, and assist with payroll.
  • Assist with forecasting and cash flow as required. 
  • Manage facilities and organize maintenance services.
  • Lead tracking of staff holidays, sick days, absences. 
  • Arrange travel, deliveries and other logistics.
  • Assist with certification and regulations. 
  • Assist with allocation of resources across multiple projects. 
  • General answering of phone, greeting and inducting visitors, processing of received packages into stock.

Required Knowledge, Skills, and Abilities
  • At least 2 year’s experience in a similar position. 
  • Good understanding of finance, commercial, contracting, resource planning, contingency planning, growth requirements and the detailed, day to day running of engineering and R&D companies.
  • Strong excel (or Google Sheets) skills are critical. 
  • Strong accounting software skills such as Xero are critical.
  • A professional telephone and interpersonal manner is essential. 
  • Must have excellent and formal English, both written and spoken.
  • Excellent organizational skills and time-management. 
  • You must be willing to work as part of a team with good interpersonal skills.
