Job Description

To support the HR Manager in providing a seamless HR service by managing the various administrative and recruitment-related processes which underpin all HR operations. This role will suit an approachable individual who has an appreciation for professionalism, confidentiality, and sensitivity, and who wishes to gain or build on generalist HR experience (depending on qualifications) in a fast-paced environment.

Main tasks and duties:

  • Assist with day-to-day operations of the HR function, providing clerical and administrative support to the HR Manager.
  • Assist with the co-ordination of recruitment and selection, tracking headcount requisitions and checking Right to Work in the UK, including use of SMS (online Sponsorship Management System).
  • Oversee onboarding procedures in conjunction with hiring managers, including preparing contracts, seeking references and DBS checks, diarising probationary period reviews, liaising with internal payroll and entering joiner details into the HR database.
  • Oversee off boarding procedures, including preparing resignation acceptance letters and liaising with line managers and IT.
  • Log and track absence, producing reports and liaising with internal payroll when required.
  • Assist in ad-hoc HR projects from time to time.
  • Operate HR database, inputting information and running reports.
  • Deal with or escalate employee enquiries as necessary.
  • Filing.
  • Maintain headcount data and org charts.
  • Assist in mail merges from time to time, such as company-wide correspondence.

Required Knowledge, Skills, and Abilities
  • 3 ‘A’ levels or equivalent.
  • Undergraduate degree or CIPD equivalent (level 3).
  • Minimum 2 years’ experience of working in an HR team.
  • Excellent administrative skills.
  • Team Player.
  • Strong time management and organizational skills, with the ability to priorities tasks, meet deadlines and deliver outcomes on time and to a high standard.
  • High level of accuracy in data input.
  • Ability to maintain absolute confidentiality and trust in all employee and HR related matters.
  • Good communication skills (written & verbal) with the ability to communicate at all levels.
  • Effective at prioritizing work to ensure deadlines are met, whilst maintaining excellent attention to detail.
  • Ability to work effectively with minimal supervision and a self-starter working mentality.
  • Procedure-driven approach to work processes.
  • IT literate, including intermediate Excel knowledge and ability to use databases.
  • Good understanding of how to balance the needs of the employer with those of the employees, both parties being clients of the HR team.

  • A willingness to learn and progress
  • Experience of using salary benchmarking tools.
  • Working knowledge of SMS (online ‘Sponsor Management System’) for visas and immigration.
  • Familiar with online recruitment tools such as LinkedIn.
  • Experience of using survey platforms such as SurveyMonkey.
  • Basic to intermediate knowledge of employment law.
