Support Finance Manager in day-to-day supervision of the Finance Transaction Team (four Finance Assistants, including 1-2 Apprentices)
Coaching and development of Finance Assistants and Apprentices
Overseeing Treasury and Purchase Ledger functions (including staff expenses and credit cards)
Liaising and supporting our Sales Ledger function (done through our subsidiary company - Award Scheme Limited)
Reviewing financial postings to ensure they are input accurately, on a timely basis, and that there is appropriate backup
To ensure that suppliers are paid promptly and that the DofE liabilities are effectively controlled
Oversee the smooth running of the grant payment process
Overseeing the review of staff expenses and credit card claims to ensure in line with policy and VAT appropriately and accurately recorded
Responsible for bank reconciliations and ensuring suspense accounts are reconciled/cleared monthly
Preparation of monthly cash flow reporting
Assisting the Finance Manager with preparation of gift aid returns
Primary contact with bank and credit card provider for queries and maintenance issues
Main contact with Finance and Expense system support providers, resolving any system issues
Continually monitor and review internal processes and controls, and make recommendations on ways to improve efficiencies within the accounting department
Updating and maintaining our finance process documentation for both the finance team and wider business
Providing training and guidance to non-finance staff on areas of transactional finance as required, to improve processes and embed best practice
Working with the Risk Assurance Team and charity wide departments to review all supplier contract and ensure the contract register is up to date
Support internal and external audit processes (including grant audits)
Other ad hoc tasks as required by the Financial Controller, including analysis and reports
Be a team player, with the flexibility to provide support or cover across all finance processes.
Required Knowledge, Skills, and Abilities
AAT or equivalent level of experience
Coaching, developing and managing team members
Experience of working with different accounting packages (ideally MS Business Central)
Microsoft Excel skills (intermediate level)
Excellent interpersonal skills – an ability to communicate with all levels of staff
An appreciation for and desire to support a business partnering way of working, to assist non-finance colleagues access and understand finance systems, data and MI
Strong team player – supporting, collaborating and sharing knowledge with colleagues
Strong attention to detail and organization skills
