Job Description
The role includes a wide variety of administrative tasks as well as purchase and sales invoice processing and bank reconciliations. This dual role works closely with the School Business Director to deliver efficient administration to most effectively support our staff and pupils and to ensure the best use of resources in support of the school’s objectives.
MAIN DUTIES & RESPONSIBILITIES:
- Work with the School Business Director to ensure compliance with:
- Health and Safety (including Fire and Lockdown Safety)
- Department for Education/OFSTED (including all risk assessments)
- Charities Commission
- Companies House
- Planning Authorities
- Ensure Annual Reviews are conducted per an agreed schedule
- Ensure Annual Reviews are conducted correctly and comprehensively.
- Ensure any actions from Annual Reviews are undertaken in the correct timeframe.
- Ensure pupil records are kept up to date and comprehensively across the schools.
- Ensure medical records are kept up to date across the schools.
- Create and produce reports as required.
- Assist the School Business Director with recruitment, hiring, induction and staff welfare.
- Ensure vehicle administration including booking MOTs, servicing etc. if completed in a timely manner.
- Assist with setting up Inset Days
- Arrange meetings as needed
- Assist the School Business Director with planning as needed.
- Research for and procurement of assets, training and other items needed by the schools
- Assisting other Support Team Members
- Preparing and processing Sales invoices.
- Coding, checking and posting Purchase invoices.
- Reconciling supplier accounts including Amazon
- Inputting bank transactions.
- Scanning and uploading paper copies of the invoices to HubDoc.
- Reconciling the bank accounts.
- Filing finance paperwork.
- Maintain the financial asset register.
- Work with our Accountants to ensure Management Accounts are prepared on time.
- Due to the very varied nature of this exciting role there will be many additional tasks and projects to get involved in as the schools develop.
