Job Description
You will be responsible for providing professional pro-active and confidential support on a day-to-day basis. You will have extensive experience of providing administrative support at a director/senior level. You will be able to act autonomously and use your initiative to priorities workload with ever changing needs. Exceptional organizational skills and a keen eye for detail are a must, along with a can-do attitude, willingness to learn and calm/level headed manner.
Key Responsibilities:
- Extensive diary management including coordinating and setting up internal and external engagements
- Help manage logistics for meetings including booking meeting rooms, providing remote conference details, IT set up, catering etc.
- Acting as a first point of contact on behalf of your directors, fielding and responding to queries and dealing with day-to-day requests
- Support with travel arrangements and travel itineraries including booking of hotels, transport, visa applications, currency etc.
- Inbox management where required
- Responsible for business finances including filling out corporate card expenses forms and expense claim management
- Assist with monthly reports, presentations, and other Ad Hoc tasks that arise
- Taking minutes and building action trackers for relevant meetings
- Supporting our Chief Financial Officer and Executive Leadership Team when they are based in our London Offices
- Perform any other PA related duties or projects as requeste
- Onboard new starters (organize equipment, systems access, introductory meetings, office tours etc.) and administer leavers
- Keeping the department documentation up to date (e.g. team shared drives, org charts etc.)
- Help organize department internal meetings and events (e.g. fortnightly breakfasts, quarterly events, team lunches, etc.)
- Involvement in PA meetings and ensuring strong relationships are built on a global scale
