Job Description
  • Manage inbound queries and communication via phone, email, and mail, with timely distributing to relevant teams
  • Meet and greet internal and external visitors to the office
  • Provide high level administrative support as the Office Manager and support Executive Assistant as required offering occasional PA duties as required
  • Manage and lead the booking and hospitality of meeting rooms and car park bookings
  • Lead the organisation, procurement and management of office stationery and office supplies
  • Order IT equipment and work closely with the IT Manager to provide support
  • Manage the current hotel booking system and requests
  • Organise, manage, and lead the Central Support induction of Tier 1 team members
  • Attend and minute meetings as required
  • Data entry / production and input of survey results as required
  • Maintain continual personal and professional development by attending and completing all training and qualifications
  • Support the People & Culture within the business
  • Log and action all reported accidents, incidents and near misses
  • Manage First Aid cover for the office
  • Ensure that telephone systems operate effectively and efficiently
  • Manage office security
  • Deal with internal maintenance issues, referring these to the Estates team, when
  • Order/replace business cards for team members and manage the supplier relationship in this regard
  • Liaise and manage relationships with suppliers that offer services or products

Required Knowledge, Skills, and Abilities
  • Advanced knowledge of MS office suite
  • Excellent written and verbal communication skills
  • Strong people and task management skills
  • Comfortable/ experienced delivering training and support to small-medium groups of people
  • Knowledge and experience of working in a dynamic environment
  • Proven track record of managing a workload with conflicting priorities whilst effectively meeting deadlines
  • Able to multi-task and prioritise in a fast-paced environment
