Job Description

Our client is currently recruiting for an administrative assistant based in a large government organisation.


Duties of the Role Include:
- Provision of an effective administrative and finance support service
- Assist with staffing matters
- Answer telephone enquiries as required
- Set-up and maintain system to receive and log items of personal belongings
- Administer petty cash and amenity fund accounts arranging payments as required
- Processing cheque payments and logging any credits from the DLA Account
- Reconcile budgetary control sheets against bank statements and internal records
- Ensure all returns and claims forms are correctly authorised within time scales
- Ensure all admin and finance systems are operating within divisional guidelines
- Raising orders and processing payments of suppliers' invoices as well as payments through the Finance Systems
- Raising invoices for out of Borough Payments and processing Journal transfers
- Maintain all files
- Collect and organise data to update information systems both computerised and manual
- Competent use of Microsoft Office Softwares
- Ensure there are sufficient supplies of essential equipment and levels of stationery are maintained
- Ensure all health and safety building repairs are recorded and reported
- Dealing with all inspections and audit as required
- Update handbooks and manuals as necessary
- Provide cover of essential admin tasks as directed in other establishments
- Strictly observes confidentiality Policy
