Job Description

You are responsible for managing and overseeing the finance function of the European office as well as the operational management of the office, its infrastructure, systems and processes. They are also responsible for managing and overseeing the HR function for the European office and for reviewing the legal risks affecting the organization. This role currently manages two staff members (the Executive Assistant and Office Coordinator and the UK Finance Manager), and provides strategic input and support to senior management to ensure that controls are properly implemented and managed, resources are allocated within budgetary constraints and that the financial records are in accordance with related policies and legislative requirements.

Key Performance Areas:

  • Provide input and managerial support into the preparation of the annual statutory financial statements (for both the UK Charity and its trading company).
  • Provide managerial support and guidance to the UK Finance Manager with regards to the annual statutory audit.
  • Oversee the submission of statutory reporting requirements to ensure that m2m complies with all Charity Commission, HMRC and Companies House legislation.
  • Provide a point of liaison as necessary between the external auditors, UK Finance Manager and UK Trustees.
  • Responsible for ensuring the Charity is following appropriate UK tax and accounting legislation
  • Authorize invoices, payments, financial transactions, as required.
  • Review key financial reports, including monthly management accounts, income and cost analyses and cash flow analyses as prepared by the UK Finance Manager, and liaise with senior management and HQ thereon.
  • Oversee, provide input into and review annual budgets and forecasts for the UK entity, and provide feedback as required to the UK Finance Manager.
  • Review reports showing budget against actuals on a regular basis and provide feedback thereon.
  • Provide strategic input into the development of future strategic plans for resource mobilization.
  • Review restricted grant reports and raise queries thereon.
  • Support the Global Development & Strategic Engagement Director with regards to reviewing financial information and commenting on appropriate trends/RoIs etc. for global fundraising and supporting to create useful financial metrics to do so.
  • Provide support to the Global Development & Strategic Engagement Director to ensure appropriate service agreements/contracts are in place with affiliate organizations and donors/fundraisers, as appropriate.
  • Review appropriate legal and other contracts with the Charity in conjunction with the wider Grants & Compliance function.
  • Ensure appropriate insurances have been obtained for the UK organization.
  • Oversee premises related issues (ie. rent, rates, building works, buildings insurances).
  • Monitor and update risk assessment register in conjunction with management and Trustees.
  • Develop systems to measure the effectiveness and efficiency of operational processes.
  • Be the point of contact for UK and European specific HR issues.
  • Monitor and ensure adherence to UK and Irish legislative requirements with respect to UK employees such as workplace pensions/auto enrolment, including liaising with external consultants.
  • Oversee the onboarding, performance management and career development of team members 
  • Acts as the Company Secretary & Governance Manager for us Advising the Board around all corporate governance matters.
  • Lead on Corporate Governance, data protection compliance and corporate statutory matters for the charity ensuring compliance with company law, regulation and the Charity Governance Code
  • Administer Trustee recruitment, support and training including the preparation of job descriptions and person specifications working with the Chair.
  • Ensure that statutory records are kept up to date relating to Companies House and the Charity Commission.
  • Establish, maintain and develop administration systems for company and its trading subsidiary, ensuring that the companies meet all legal and regulatory requirements relating to company administration.
  • Maintain accurate records of relevant agendas, meetings, resolutions and legal filings for the companies.
  • Ensure that Trustee Meetings are legally and constitutionally compliant and provide appropriate governance advice and support, working closely with staff from all relevant teams in the organization and procuring specialist professional advice when required.
  • Advise on requirements arising from company and charity regulation and from the Articles of Association of the companies, including monitoring legislative and regulatory developments in the not-for-profit sector, drawing from this to make recommendations for improvements to the Trustees and Senior Management thereon.
  • Organize and present policy, best practice and governance information for review and discussion by Trustees at Trustee meetings.
  • Prepare Board papers to Trustees, as required, and liaise with the CEO and HQ to ensure consistency of preparation and information for company Boards.
  • Lead the planning and delivery of periodic UK Board meetings.
  • Work with the Global Development & Strategic Engagement Director and other employees to review and establish policies and procedures that ensure the companies meet constitutional, legal and regulatory requirements relating to company administration as well as internal adherence to our policies.
  • Communicate regularly with the CEO, Finance Director and Senior Grants & Compliance Manager and the Global Development & Strategic Engagement Director to discuss wider changes to company organizational policies and procedures, which may affect company, and report to the Trustees and staff thereon.
  • Act as the GDPR officer for us globally, with responsibility for overseeing m2m’s data protection strategy and its implementation to ensure compliance with GDPR requirements.
  • Oversee the provision of reporting on all the identified KPI areas specified in the QBR Dashboard through the creation and development of reports in Salesforce and support the various business teams to update and maintain their dashboards as required.
  • Perform ‘special/ad hoc projects’ with respect to governance and best practice, as directed by the Global Development & Strategic Engagement Director
  • Maintain good relationships and work closely with those outside the charity who are necessary to the success of this role, including the Charity Commission, Companies House, other relevant regulators, third sector bodies and m2mUK’s legal and other professional advisers

Required Knowledge, Skills, and Abilities
  • Recognized 3 years’ BA/BSc Degree
  • Professional business qualification (such as ACA, ACCA, qualified solicitor etc.)
  • Post Graduate degree a distinct advantage
  • At least 5 years post qualification accounting experience.
  • At least 3 years’ experience working in a managerial role.
  • Experience working in a similar role (i.e. with responsibilities for both finance and operations).
  • Significant charity accounting experience.
  • Strong bookkeeping skills.
  • Knowledge of charity accounting including knowledge of the accounting and best practice in respect of restricted funds.
  • Experience of the application of good financial controls and the ability to review current systems and suggest further improvements if necessary.
  • Good working knowledge of Microsoft Office.
  • Working knowledge of the UK regulatory bodies and good governance standards (Charity Commission, and Companies House).
  • Monitoring of major grant receipts
  • Significant experience of working with and alongside Trustees, Directors and Senior Management on a regular basis and in varying media
  • Working knowledge of UK charity law and regulations and of the UK regulatory bodies (Charity Commission, Companies House etc.)
  • Knowledge of good practice approaches to governance and the ability to use this knowledge to improve practice at m2mUK
  • Good working knowledge of Microsoft Office.
  • Charity accounting and/or legal experience a distinct advantage
  • Experience of working with Business Central/Serenic (Navigator).
  • Experience of Salesforce.
  • Experience of working within a charitable organization is preferable.
  • Highly organized and adept at managing multiple concurrent activities
  • Strong attention to detail
  • Ability to work both in a team and independently and to drive forward changes and processes where required
  • Excellent time management and personal organizational skills, with the ability to manage multiple tasks and priorities, exercising own initiative with minimum supervision and meet deadlines

  • Understanding of the requirements of effective project management, planning and budgeting.
