Job Description

Supporting the Contract Manager's with key admin functions to ensure delivery of all contracted services to high standard. Responsibilities include:

  • Ordering and issuing of uniforms together with care instructions
  • Provide support for procurement following CSS processes through use of Apollo for creating Purchase Orders on behalf of the Contract Managers
  • Reporting any equipment failures, damage to premises, minor repairs, or any other safety hazards
  • Develop and maintain effective relationships with client representatives through a proactive approach
  • Support the Contract Managers with timely provision of management information reports and KPIs
  • Assist employees with general queries and direct them to the correct point of contact if required
  • Maintain the absence register
  • Carryout out telephone Back to Work Interviews prior to staff returning to work
  • Maintain a database on car park tickets issued
  • Maintain the holiday matrix by recording leave requests which have been authorised against the specified quota
  • General office typing of disciplinary letters/staff letters/memos etc. as directed by the Contract Managers
  • Provide note-taking support for meetings and produce detailed minutes as required
  • Process orders for issuing of uniforms, ID cards and name badges for employees
  • Process travel pass requests for new and current staff
  • Any other general office duties which may be required from time to time
  • Ensure compliance with the provisions of the Data Protection Act with respect to the handling of personal information
  • Other duties commensurate with the role as many be deemed appropriate by your line manager
