Job Description

• Setting up, updating and maintaining supplier account details for suppliers on the accounting system
• Converting purchase requisitions, approved by budget holders or principals, purchase orders, in line with financial procedures.
• This will include checking that the coding is correct, budget capacity exists, and financial procedures have been complied with.
• Sending the purchase orders to suppliers; and liaising with suppliers on finance and invoice issues
• Processing purchase invoices received from suppliers within the finance system, ensuring they are matched to purchase orders and correctly coded;
• Scheduling and communicating future BACS run dates
• Processing payment runs via BACS accurately to the scheduled deadlines
• Sending remittance advices to suppliers and filing invoices
• Reconciling supplier statements
• Resolving supplier queries and issues
• Monitoring and managing communications within the Finance mailing inbox
• Downloading daily online bank statements , and then coding and posting bank transactions
• Inputting invoices, credit notes, banking details and other transactions in the finance system;
• checking the accuracy of staff expense claims, and compliance with procedures
