Job Description
  • Collect payment from students in connection with academy trips or other necessary payments using Parent Pay
  • Issue paper order request forms to budget holders and ensuring that all requests, once complete, are processed through the academy's accounting system
  • Obtain authorization, coding and posting all purchase orders and purchase invoices
  • Post monthly sales invoices, ensuring the collection of associated revenue in a timely manner
  • Prepare and manage payment runs
  • Reconcile Statement of Accounts to ensure suppliers are paid correctly and in a timely manner
  • Obtain authorization for and post employee expenses in line with the Harris Federation policy
  • Enter journals onto the accounting system
  • Assist with bank reconciliations
  • Reconcile and post credit card statements
  • Assist with admin duties as and when required
  • Report budgets to budget holders monthly
  • Deal with Post 16 bursary payments
  • Liaise with cost center budget holders in respect of their monitoring and reporting procedures
  • Maintain an accurate Contracts Register to ensure compliance, best value and timely renewal as appropriate
  • Assist with the submission of applications for funding from Local Authority and external organizations
  • Take responsibility for all academy banking
  • Deal with incoming and outgoing post
  • Deal with queries both internal and external
  • Ensure an appropriate filing system is maintained
  • Assist the Finance Business Partner with audit requirements
  • Work with the Resources Manager to send out payment requests, chase overdue payments, keep records of income taken and get these banked

Required Knowledge, Skills, and Abilities
  • GCSE (or equivalent) in English and Maths - Grade C or above
  • At least three years' experience working in a finance department
  • Previous experience of using financial packages 
  • Knowledge of budget setting processes
  • Understanding of the role and function of external audit
  • Experience of working within financial control environments
  • Experience of assisting with budget setting and budget management
  • Sound knowledge of Management information systems 
  • Experience in working in Multi-ethnic urban schools.
