- To respond to face-to-face/telephone and other HR and recruitment enquiries, ensuring that precise and clear messages are taken and queries are dealt with appropriately.
- In liaison with the PA to Principal/ HR, to help maintain the central filing system and to ensure that the personal files are maintained in a neat, tidy and comprehensive system and archived records are maintained.
- To ensure that information is easy to access, kept up to date and filed accurately and regularly.
- To ensure that accurate records are maintained of sickness absence for academy staff and reported to payroll in accordance with weekly/monthly deadlines.
- To co-ordinate ELT vacancy requests under the guidance of the Senior Leadership Team.
- To review applications, where required, to ensure essential criteria has been matched by shortlisted candidates and identify any areas of concern in applications in order to ensure safer recruitment practice.
- To liaise with both candidates and recruiting managers, where required, to ensure interviews are organised and arranged in a timely manner, including inviting candidates to interview and providing candidates with any relevant preparation information.
- To ensure, where required, that recruiting managers have all relevant documentation prior to the interviews taking place.
- To ensure, where required, that recruitment activities are well planned, booking appropriate facilities where required (e.g. rooms, catering).
- To liaise with recruiting managers following interviews to obtain feedback on candidates.
- To liaise with recruiting managers regarding appointments made in order to issue adherence to ELT approvals and that accurate offers of employment letters and associated employment documents are issued.
- To ensure that all new employees have completed all pre-employment checks satisfactorily prior to commencing employment, liaising with appropriate external agencies where required.
- To contribute to the maintenance of the Academy’s Single Central Record with guidance from the PA to Principal/ HR for the academy.
- To support team members, sharing learning and best practice in order to contribute to overall team effectiveness.
- To provide cover for reception duties when required, being the first point of contact for visitors, parents and pupils, answering routine telephone and face to face enquiries and the signing in and out of visitors.
- To report inappropriate pupil behaviour and convey serious incidents to your line manager or Principal as appropriate.
- To be aware of and comply with policies and procedures relating to child protection, inclusion, health, safety and security, confidentiality and data protection, reporting all concerns to an appropriate person.
- To participate in training and other learning activities and performance development as required.
- To ensure strict confidentiality in all areas of work.
- To work and process personal and sensitive information in accordance with Data Protection Act 2018 including the General Data Protection Regulations (GDPR) 2018.
- To ensure work is conducted in a way that protects the safety and security of information (e.g. strong passwords, reporting breaches, securing paper records, securely disposing of records).
- To understand and comply with the statutory guidance regarding safeguarding of children, ensuring the safeguarding and promotion of children’s welfare at all times, reporting any concerns to the Designated Safeguarding Officer immediately.
- To comply with the Trust and academy’s policies and procedures at all times.
Required Knowledge, Skills, and Abilities
Essential GCSE Grade C in English and Maths, or equivalent (A/I/C) Relevant work experience or vocational training with regard to reception/office work (A/I) RSA Level 2 word processing, or equivalent (A/I/C) Knowledge of a range of standard computer packages e.g. Microsoft Office, Outlook email (A/I) Able to communicate clearly face to face, by telephone and in writing with a wide range of people (A/I/R) Able to relate well to children and adults (A/I) Able to work sensitively with confidential information (A/I/R) Able to work with a high level of accuracy (A/I/R) Able to work to demanding and often conflicting deadlines (A/I/R) Able to work with a minimum of supervision (A/I/R) Commitment to self and team development (A/I) Able to maintain a safe, calm and happy ethos (A/I) A commitment to abide by and promote the Academy’s Equal Opportunities, Health and Safety and Child Protection Policies (A/I) A professional responsibility to promote and safeguard the welfare of children and young people (A/I) The post holder will require an enhanced DBS (C) Working in a school or office environment (A/I) Familiarity with relevant school procedures, policies and guidelines (A/I) Desirable NVQ Level 2 Administration, or equivalent (A/I/C) Experience of using SIMS or similar programme (A/I)
