Job Description

Specific Responsibilities

Administration

  • Plan and co-ordinate maintenance contracts ensuring all servicing is planned economically in line with the businesses contractual obligations
  • Monitor the return of paperwork and quotations from engineers, contractors and clients and ensure all correspondence is saved in the correct company format
  • Raise purchase and rental orders as directed by the project delivery team – monitor the orders to ensure that invoice queries are closed out in a timely manner
  • Effectively plan engineers diaries, minimize travel and maximize output
  • Verify operatives timesheets against job diaries and vehicle trackers and input onto internal system to agreed timescales
  • Ensure all internal systems and extremal client portals are updated within agreed timescales.
  • Maintain a high level of communication with other departments within the company.
  • Ensure administration work is consistently completed accurately and on time and in accordance with appropriate statutory, regulatory and company procedures and deadlines.
  • Effective standardised filing across all areas of the departments
  • Work with a high degree of integrity and confidentiality
  • Support business to meet targets and deadlines
  • Carry out other ad hoc duties within responsibility

  • Well-developed communication skills. Able to build and sustain relationships
  • Attention to detail with strong planning, organisation and prioritisation skills
  • Excellent working knowledge of Excel, Word and Outlook
  • Good team player who is able to adapt to new systems and ways of working.
  • Ability to take ownership & demonstrate required values and behaviours (One Team) (E)
  • Previous relevant experience (E)

The position will be based out of the Wakefield office.

Work Environment:

  • Ability to devise and map processes, experience of managing a large administration function (D)
