Job Description

Desirable but not essential Experience, Skills & Personal qualities for this role include:

  • Excellent telephone manner
  • Good computer literacy skills specifically knowledge of Microsoft Office & Google Applications
  • A working knowledge of the Property Management Package "ARTHUR" would be advantageous but not essential
  • Professional, trustworthy, well presented, polite and hardworking
  • Ability to take the initiative and manage own workload when required
  • Confident at dealing with people at all levels
  • Punctual, reliable and adaptable
  • Able to adapt to new tasks and manage time efficiently
  • Confident and articulate with good communication skills both verbal and written
  • Highly organised and methodical with good administrative skills
  • Excellent numerical ability with high levels of accuracy and attention to detail

Key responsibilities include but are not limited to:

  • General office duties and administrative support to the Property Management Team duties including answering the office phone, filing, shredding, photocopying, scanning
  • Assist the Property Managers with rent recording and control
  • Good time management skills and the ability to multi-task and prioritise work
  • Liaising with tenants, letting agents & maintenance contractors
  • Handling day to day enquiries via phone, email, written correspondence
  • Assist the Property Managers with the vetting process of prospective tenants
  • Make and confirm viewing appointments, inspections and management visits
  • Assist the Property Managers with ensuring all files on the Property Management software - ARTHUR are kept up to date
  • Assist the Property Managers with property advertising and applicant enquiries
  • Maintaining and compiling spreadsheets
  • Assist the Property Managers with the management of all property maintenance issues
  • Assist the Property Managers with arranging inventories, protecting tenant's deposits, gas safety certificates, EPC's and all other legal documentation to ensure that all managed properties comply with current legislation.
