Job Description

Administration

  • Answering the phone and providing a first-class service when dealing with Landlord and Tenant enquiries, ensuring correct procedures are followed
  • Registering new applicants over the phone and via email
  • Arranging viewings of properties - planning the diary efficiently, managing applicants, property matching existing applicants and organising keys for viewings
  • Taking offer details from applicants as and when required
  • Providing a regular applicant management service and feedback service to Landlords following viewings
  • Carrying out the Renewal Process - advising the Landlord of the ideal renewal terms, confirming to the Tenant and processing the administration paperwork required
  • Assisting with property-to-market duties, including sending Instruction Letters and Terms of Business to Landlords
  • Assisting with elements of the new Tenancy process, following the New Tenancy Checklist
  • Assisting with elements of the end of Tenancy process, following the End of Tenancy Checklist
  • Ensuring all Landlords and Tenants have a positive end-to-end experience to ensure future referrals to the business
  • Keeping the Jupix operating system up-to-date

Property Management

  • Ensuring adequate keys are held for managed properties - arranging key cutting when required
  • Carrying out regular key audits
  • Ensuring EPC / gas safety / electrical safety records are up-to-date
  • Arranging new EPCs, gas safety certificates and electrical safety certificates (EICR reports)
  • Organising End of Tenancy and New Tenancy professional cleans
  • Arranging and diarising Routine Visits for managed properties
  • Arranging keys for collection by contractors / inventory clerks (check in and check out)

General

  • Keeping up-to-date with general ad hoc administration tasks, e.g. filing as and when required
  • Keeping up-to-date with changes in relevant Lettings legislation and regulations
  • Attending any relevant training courses and refresher courses as required
  • Promoting the brand and services to potential Landlords and Tenants
  • Adhering to the Company's Service Standards

  • Proactive, enthusiastic, efficient and flexible approach to work
  • Good organisational skills and ability to multi-task
  • Ability to work under pressure, with accuracy and attention to detail

Required Knowledge, Skills, and Abilities
9-4 / A*-C grade GCSEs (or equivalent) in English & Maths Knowledge of the local area,Intermediate MS Word and Excel skills
