Job Description
  • To co-ordinate and organise interviews for experienced hire.
  • Liaising with managers, Business Support Officers, payroll, pensions and suppliers.
  • To meet and greet interview candidates / visitors when required and co-ordinate security requirements.
  • Assisting with first day induction presentations as required
  • Assisting with pre-joining days
  • Organising site tours and general onboarding activities
  • To administrate offers and contracts of new starters from offer through to completion of on-boarding process for general and ECP hire.
  • To assist, when required, the administration process for leavers to ensure smooth transition and exit from the business for both general and ECP hire.
  • To liaise regularly with the Resourcing Administration team with a focus on identifying and agreeing ways of continually improving processes and practices with a particular emphasis on cost savings.
  • Attending regular team meetings either face to face, VC or by conference call.
  • Travel to other UK sites when required to attend meetings, meet team etc.
  • Ensure all HR databases SAP/Workday/Taleo information is regularly updated, with all changes and amendments.
  • Support the HR Admin Team Leader and Resourcing Tam as required.
  • Co-ordination and set up of psychometric testing for both general hire and ECP.
  • Organise and prioritise own workload ensuring all deadlines are met, reviewing and monitoring priorities to ensure quality and standards are maintained.
  • Investigate problems, queries and issues, presenting conclusions and discussing recommendations.
  • Liaise with procurement and finance internally to carry out supplier risk checks, PO’s and invoicing to ensure suppliers are paid on time and liaising with accounts when necessary
  • Flexibility on working some weekends/evenings to support open days and exhibitions
  • Vacancy administration and advertising
  • Dealing with references according to GDPR criteria
  • Processing of queries via the resourcing inboxes
  • Creating Clock numbers for starters both permanent employees and contingent workers
  • DRM scanning/general housekeeping
  • Updating Facebook posts
  • Any ad-hoc administration tasks as required
  • Performance Indicators
  • Co-ordinate and maintain the recruitment systems accurately, promptly and to quality 
  • Ensure all HR admin is completed to the required standard and in a timely fashion
  • Ensure all new recruits comply with the security and medical requirements for clearance purposes.
  • Process starters and leavers documentation in a timely and accurate manner.

Required Knowledge, Skills, and Abilities
  • Possess previous recruitment administration experience within a busy recruitment/resourcing function.
  • HR process knowledge would be a benefit
  • Experience of working under pressure to tight timescales
  • Ability to multi-task with a range of relatively complex support/administration activities
  • Excellent communication skills both written and verbal
  • Ability to work autonomously and manage own workload
  • Strong planning and organisation skills with the ability to multi-task. 
  • Monitor and prioritise workflow to achieve deadlines.
  • Patience and courtesy to provide an initial contact point for  HR and recruitment queries
  • Excellent PC skills – MS Office, SAP, Workday, Recruitment systems experience desirable
  • Be a self-starter and motivated to execute this role to an excellent standard
  • Respect and maintain confidentiality
  • To have a proactive approach and flexibility to support team and colleagues where needed
  • Diplomacy, resilience and tenacity will be required
