Job Description

Responsibilities

Provide administrative services including diary management, booking meetings, planning events, preparing correspondence and prioritizing emails for BDUK’s Senior Leadership Team.

Understand the priorities and direction for BDUK and anticipate needs.

Work closely with the Director and Senior Leadership Team to arrange meetings and prepare briefing materials.

Maintain electronic filing system, ensuring processes are up to date and in working order.

Maintain a strong working relationship with other relevant departments, including IT, HR, Comms & Engagement and Finance.

Liaise with other staff members on behalf of the Senior Leadership Team.

Provide administrative support in the delivery of assignments and initiatives on behalf of the Senior Leadership Team, as and when required.

Ensure the Senior Leadership Team has the appropriate resources to enable the team to work effectively.

Ensure all correspondence and relevant materials are produced in a timely and accurate manner.

Commission and collate departmental reports and documentation for Board meetings and other meetings with outside partners.

Attend and take minutes for meetings attended by the Senior Leadership Team, and other meetings, as required.

Follow up on action points from meetings and ensure key decisions, risks and issues are recorded in the PPM tool.

Develop briefings for meetings with senior external and internal stakeholders.

Required Knowledge, Skills, and Abilities
Proven experience as an executive assistant or other relevant administrative support experience. In-depth understanding of the entire Google suite. Ability to organize a daily workload by priorities and able to meet deadlines in a fast-paced, quickly changing environment. A proactive approach to problem-solving with strong decision-making skills. Excellent verbal, written and interpersonal skills.
