Job Description
  • To maintain and update the local land charges register in accordance with statutory requirements
  • To create accounts for private search companies and assist them with utilizing the Personal Search Explorer database, monitoring search agents accessing the system to search the relevant properties requested and ensuring they have submitted and completed the search forms correctly, and assist them with their enquiries
  • To liaise with colleagues regarding highways and common land registry enquiries and identify and resolve any anomalies in the search replies in relation to these.
  • To liaise with Solicitors on the progress of searches and deal with follow up queries once the search results are received back by the solicitor
  • To liaise with internal client departments to ensure that all information relating to a particular property/land site is recorded onto appropriate systems and with the legal section to clarify the requirements of planning obligations.
  • To bring to the attention of the Land Charges Manager any anomalies/unusual information found on any submitted search paperwork; either via the National Land Information System computer system or received externally
  • To be responsible for the processing of payments received, checking the correct search fees have been paid by Solicitors. Ensuring that any payments not received are requested from Solicitors.
  • To calculate the VAT element on payments received for searches by cheques and provide this information to the Finance Department.
  • To maintain and update the Daily List which details payments made by BACS and cheques; calculate and apply the necessary VAT coding.
  • Carry out work with Land Registry as part of the transfer of the Land Register which will require accurate data checking and uploading, using a range of IT packages and file copies.
  • To communicate the Health and Safety policy, procedures and guidelines to all employees under the management/supervision of the post holder.
  • To monitor compliance with the policy, procedures and guidelines and keep appropriate records where required.
  • To comply with the Council’s Comprehensive Equality Policy and ensure that it is implemented within the service area and amongst employees within the remit of the post
  • To be responsible for the implementation of the Council’s Human Resource policies and procedures including Employee Relations, within the remit of the post.
  • To comply with the Council’s Data Protection Policy and Code of Practice within the service area and amongst employees within the remit of the post.

Required Knowledge, Skills, and Abilities
