Job Description
To support and build an asset database around the company’s assets by complying with company policies and processes i.e. transfer/disposal/service/maintenance, recording activity data on all first line equipment. Supporting the National Asset Manager with data to implement tactical/strategic decisions and working collaboratively with Area Managers around the collection of data arranging movement of assets and act as first line review for asset requests.
Key Accountabilities
1. Comply with company policies and processes
- Where an asset is to be moved complete the asset transfer form reflecting the movement of the machine from and to the new location notifying relevant stakeholders
- Where an asset is deemed scrap, complete the asset disposal form notifying relevant stakeholders
- Where service/maintenance occurs on equipment, record the PO related to the asset and the cost associated with the repair/maintenance
- Ensure all PO activity complies with Delegated Authority levels
- Ad hoc requests as deemed appropriate.
2. Record activity data on first line equipment
- For all first line equipment, record weekly hours of activity
- Record all costs associated with first line equipment – repairs, tax, any insurance etc
- Any down time due to repairs
- Ad hoc data as required
3. Support National Asset Manager with data to make tactical/strategic decisions
- Produce daily/weekly/monthly reports that show trends in asset data
- Look at critical aspects of machinery use and provide recommendations once familiar with assets/industry
- Liaise with AM’s to understand good/bad practices where specific trends arise
4. Liaise with area managers around the collection of data and to arrange movement of assets
- Chase data that is not submitted in a timely manner
- Discuss with AM’s specific areas of spend that looks “out of the ordinary”
- Ensure all spend goes through the nominated preferred supply routes and suppliers
- Liaise with haulage/in house teams for movement of asset
5. Be the first line of review for any requests of a smaller nature
- Once familiar with business, handle/direct elementary calls
- Develop relationships with key suppliers to facilitate service
- Raise PO’s on request for asset related spend
- Reporting to the Asset Manager
About you:
You’ll be an experienced and organized administrator with demonstrable and practical experience of managing fleet databases, ideally within a grounds maintenance organization or FM business and familiar with working with geographically dispersed teams. Possessing excellent IT skills and have a keen eye for detail and accuracy with the ability to manage and respond to changing priorities and deadlines.
