Job Description

We would like a Junior Office Administrator to help ensure the smooth running of the office, it doesn’t matter what age or stage of career they’re at as full training will be given.

Duties and responsibilities

There is not much the position will not cover, and no two days will ever be the same.

We would like the Junior Office Administrator to look after health and safety, supplies control (stationery, refreshments, PPE supplies and supplies for the bathrooms), general office tidiness and the maintenance of office equipment (photocopiers, printers, alarms etc.).

After specific training, we would also like them to be able to create, maintain and audit employee and client files. They may also be required to complete client assessments and in time be required to complete our client person centered care plans.

As part of our induction process we would require the successful candidate to gain awareness of the Health and social care industry to enable them to support both our clients and employee’s in the community.

They will also be expected to:

  • Help screen incoming calls
  • Manage the post and email
  • Greet visitors
  • Book any travel requirements
  • Look after the filing
  • Photocopying and binding
  • Updating of employee and client information
  • Scheduling

We feel that this is a good career in its own right and is an excellent way of getting that all-important office experience that can help you move up the ladder into other administrative, secretarial or Health and Social Care careers which we will provide full support with.

They will work closely with everyone in our office, but especially with the current office administrator and would have to provide annual leave and sickness cover for.

Junior Office Administrator working hours

If they are looking for a good work/life balance this is a good career to be in, the hours will usually be 9am to 5pm Monday to Friday. Although at particularly busy times there might be some overtime. Annual holiday entitlement is 5.6 working weeks (subject to a maximum of 28 days) in the complete holiday year. The hourly rate would be between £6.00 & £6.50 per hour dependent upon experience.

This is an office-based position although we don’t expect them to spend all their time at a desk as there’s lot to be seen to around the office and out in the community.

As they’ll be greeting visitors, they should always look well presented to make a good first impression for Aceso Homecare, so leave they can leave their tatty jeans at home!

The most natural progression path is for the Junior Office Administrator to gradually take on more responsibility and work your way up to become a Senior Administrator, Office Manager or possibly another role within the company. They will also have the opportunity to get more involved on the secretarial side of the job.

If they are tenacious and have their sights fixed on bigger and better things, the role of Office Administrator can be a good steppingstone. Provided they are prepared to work hard and take qualifications along the road.

Since it’s a junior role, they won’t always have the most exciting of tasks to do, so prepare for lots of photocopying…

What does the Apprenticeship Cover?

During this course, you will complete training and activities to cover the 12 modules below. These are completed through workbooks, practical sessions and observations and have been designed to meet the Business Administrators standard as well as the Highfield Level 3 Diploma for Business Administrators.

Module 1: The organization and your role

Module 2: Business fundamentals

Module 3: Project management

Module 4: Producing records and documents

Module 5: Building positive relationships

Module 6: Business communication

Module 7: Use IT systems and software

Module 8: Decision-making

Module 9: Planning and organization

Module 10: Stakeholders

Module 11: Policies and regulations

Module 12: Processes

The Apprenticeship will last 15 months. After 12 Months, learners will be entered into their End Point Assessment. At this stage you will submit your portfolio, complete a multiple-choice online exam, participate in a portfolio-based interview and deliver a project presentation.

Any person that comes onto our apprenticeship programmes will in addition to the apprenticeship qualification have access to over 500 e-learning courses which you will gain certification for any undertaken. These are optional and not a requirement of the apprenticeship programme and totally free of charge.


Required Knowledge, Skills, and Abilities

A good communicator. Good with English (verbally and written). Competent in using a computer (mainly MS Office). Able to work as part of a team.
