As administrative assistant you will be required undertake day-to-day duties within the office in order to support activities for the organisation and/or managers to facilitate the smooth running of all administration tasks.
Purpose Of The Job:- As an Administrative Assistant you will be responsible for providing administrative support to ensure efficient operation of the office. You will support managers and employees through a variety of tasks related to organization and communication. You will communicate via phone and email ensuring that all administration tasks are completed accurately and delivered with high quality and in a timely manner.
Roles and Responsibilities:
Perform daily office tasks such as filing, recording, copying, typing and other similar duties to meet the needs of the organisation and department in a timely manner.
Develop and maintain a strong working relationship with all team members.
Plan and produce documents when needed using various Microsoft packages.
Purchase, receive and store the office supplies ensuring the basic supplies are always available.
Prepare and send outgoings faxes, mail and courier parcels when needed.
Provide secretarial and administrative support to supervisors and management.
Maintaining computer and manual filing systems.
Covering the reception desk when required.
Taking accurate minutes of meetings when required.
Must undertake necessary domestic tasks when required.
Write business letters, reports or office memos using word processing programmes
Organize and schedule meetings and appointments
Develop and maintain a filing system
Order office supplies
Dealing with post.
Duties such as greeting and looking after visitors
Take minutes at meetings
Maintain electronic and hard copy filing system
Photocopying and binding
Updating of contact lists
Liaising with relevant organisations
