As a Regional Administrator you will be required to support the Head of Operations and Contract Managers under our Cleaning function by leading and supporting with administration activities involved within system and operational projects as required by the business, ensuring that an exceptional service is provided to our stakeholders. In addition, you will also be responsible for supporting the Help Desk with any incoming queries.
Administration
To process leavers on Timegate as required
To assist in the resolution of wage queries by liaising with the Operative, their line manager and payroll as necessary
To support any new managers with Timegate, employee portal and other operational processes
To regularly liaise with the other Regional Administrators and the Compliance Officer to ensure consistency across the business
To ensure we are GDPR compliant at all times
To work on ad hoc projects and tasks when required to meet the demands of the business
To provide support to the Head of Operations and the Divisional Team including HR and H&S
Help Desk
Transferring of all faults in a timely manner onto Work-IT
Communication of the faults to the operational management team on the contract in a timely manner to enable the resolution of these faults within the agreed KPI's.
The active management of jobs on the third party portal.
The closing out of all jobs once completed via the third-party portal
Production of the period KPI data
Requesting extensions from the client when required due to access issues.
Daily Arbitration of shifts on the Timegate system
Production of period Time and Attendance report.
Ensuring the accuracy of the attendance information contained within Timegate.
Co-ordination with 3rd parties and sub-contractors to arrange access to the infrastructure.
Acting as a point of contact for all isolation and possession queries.
Liaising with internal teams regarding isolation's and possessions.
Process using an online portal all requests for materials and consumables.
Co-ordinate the repair of equipment.
Collection, processing and presentation of information produced by the periodic team on a daily basis.
Updating the graffiti and fly tipping reports on a weekly basis
Required Knowledge, Skills, and Abilities
Maths and English at GCSE grade C equivalent Previous experience in an administrative role Good communication skills Proven experience building excellent working relationships with all levels of management and across organisational lines Excellent attention to detail Good problem solving skills with the ability to anticipate problems and resolve issues using own initiative Good organisational and time management skills with the ability to prioritise & meet agreed deadlines Ability to work collaboratively Competent user of IT systems including basic knowledge of Microsoft Word & Excel A good understanding of Time & Attendance systems
