Job Description

The principal role of the Office Manager is to effectively manage the administration of multiple divisions of the business. Reporting directly to the board, the Office Manager is responsible of administration, reporting and streamlining the business in-line with direction from the board.

Your Responsibilities:

Operations Administration. The Office Manager will be responsible for the following operational tasks;

  • Ensuring that various reports are issued to depot managers and the responses/conclusions of the reports are summarized and presented back to the board. These reports include;
  • Depot spend via purchase order reports.
  • Cross-Hire replacement report – ensuring utilization of own equipment.
  • Purchase order authorization

Operations Reporting. Reports to the board must be summarized and have supporting documentation. All reports should be presented in-line with weekly deadlines for conference calls and depot visits/meetings.

Sales Administration. The Office Manager will be responsible for the following sales tasks;

  • Collating sales reports from Pipedrive and Account Manager Activity.
  • Ensuring that agreed customer rates are up-loaded to inspHire.
  • Monitoring the use of Barbour-ABI and identifying converted leads (with Account Managers)
  • Reporting of Goals and Targets of Account Managers.
  • Diary/Call monitoring (Pipedrive)
  • Completing RFP [Request For Pricing] documents with the assistance of the Board (and ensuring the correct completion of PQQ [Pre-Qualification Questionnaires] documentation with the HSEQ Manager)

Sales Reporting. Reports to the board must be summarized and have supporting documentation. All reports should be presented in-line with weekly deadlines for conference calls and depot visits/meetings.

Human Resources Administration. Liaising with the accounts team, the Office Manager will compile weekly and monthly reports based on the following;

  • Monitoring of absenteeism & holidays via the BreatheHR system.
  • Monthly holiday’s taken/remaining reports to depot for all staff.
  • Collation of working hours from depots to Payroll in-line with payroll deadlines.

Human Resources Reporting. Reports to the board must be summarized and have supporting documentation. All reports should be presented in-line with weekly deadlines for conference calls and depot visits/meetings.

General Administration.

  • Organize & diaries weekly, monthly and quarterly meetings.
  • Collate information for agenda’s and circulate to staff.
  • Take notes and action points from meetings and circulate to staff.

Professional experience we would like you to demonstrate:

  • Previous experience in a similar role (PA/Office Manager)
  • Sales administration
  • Operations administration

Required Knowledge, Skills, and Abilities
Knowledge of Microsoft products (Excel, Outlook, Power Point, Word). Excellent communication & organizational skills. PA Duties/HR Procedures/Cost Control Budgeting/Performance Management.
