Job Description

The Client Management Administrator is a core member of the Investment Funds Team providing dedicated administrative support to fee earners and secretarial staff working on certain key client relationships.

The role focuses on

(1) Billing, recovery and reporting.

(2) Document production, management and organization.

(3) Data management and project assistance.

Key Responsibilities
Maintaining accurate and complete client and matter records.
Liaising closely with fee earners and secretarial staff to prepare invoices in compliance with client billing policies and procedures and managing the
production of invoices from start to finish.
Managing the upload of final invoices to the E-billing platform, monitoring platform and receivables reports to ensure action points are addressed
and resolving queries, internally and externally, around invoices.
Assisting with periodic client-driven reporting.
Resolving queries, internally and externally, around overdue invoices.
Managing client directives in relation to client-specific billing policies and procedures and ensuring all directives are communicated to the relevant
fee earners and secretarial staff and documented appropriately.
Assisting with the production, review, modification and organization of documentation, including maintaining precedent documents.
Assisting with routine administrative and data management tasks as required, including assisting on legal and regulatory projects arising from
time to time.

Required Knowledge, Skills, and Abilities
The Client Management Administrator possesses excellent interpersonal and organizational skills and has a desire to work in a fast-paced, progressive team. The Client Management Administrator has the ability to interact with legal professionals and develop external client relationships, as well as a proactive mind set, ability to work under pressure, adaptability and excellent attention to detail. Three to five years relevant work experience, or equivalent combination of education and experience. Excellent written and verbal communications skills. Ability to establish and maintain excellent professional relationships, both internally and externally at all levels. Experience with Aderant/Adex billing is essential. Experience with E-billing platforms is an asset. Experience within the financial or legal industry would be an asset. Calm, confident manner and ability to prioritize a dynamic workload. Proficient in Microsoft Office Suite.
