The Team Administrator will contribute significantly to Cheshire Community Foundation's aims by coordinating team activity and effectively managing administrative systems and processes. The role holder will need an eye for detail to maintain accurate data and provide timely reports. The role holder's ability to organize and prioritize will enable them also to provide administrative support for the CEO and Fund Development Team, working to raise funds to support the most disadvantaged in our communities and enable our donors to feel proud of the difference they make.
Key Activities
1) Provide personal administration support to the CEO
Ensure the Chief Executive is prepared for external and internal meetings by providing necessary papers and background information.
Make appointments on behalf of the Chief Executive and ensure that follow up actions are completed.
Undertake desk research, draft reports, and prepare summary reports from the donor database, as required by the Chief Executive.
Communicate with donors, donors’ clients and other stakeholders on behalf of the Chief Executive and Cheshire Community Foundation.
2) Fund and Donor Development Support
Support the CEO and Fund Development Team in implementing a fund development strategy which identifies and engages philanthropists in Cheshire and demonstrates an understanding of local needs and the services required.
Co-ordinate the donor engagement plan to ensure that CCF donor stewardship builds donor engagement and provides a positive experience to donors.
Support the CEO and Fund Development Team in achieving fundraising targets, as agreed with the Board for endowment, flow-through funding and running costs.
Support the CEO and Fund Development Team with research to identify and help develop opportunities for building strategic partnerships that increase collaboration with CCF to make a difference locally.
3) Team Administration
Manage the donor/relationship management data within the Salesforce database, keeping it updated and generating all follow up actions required to maintain good communications with stakeholders.
Be responsible for the accurate recording and filing of data with a focus on donor related records e.g. agreeing and maintaining standards, ensuring data protection guidelines are followed.
Establish and maintain systems which will enable the CCF to achieve Quality Accreditation (QA).
Support the office’s administrative systems to ensure smooth running of day to day administration and ongoing improvements.
Support telephone answering and responding to general enquiries by signposting information and taking messages.
Attend meetings/conferences/events in a support role, representing the Foundation.
Other activities
Organize and provide administration for the Foundation events as required.
Support marketing and communication activities as required
Undertake any other reasonable responsibilities to contribute to the development of the Foundation, as requested by the CEO/COO.

Required Knowledge, Skills, and Abilities
Experience as a Team Coordinator or Team Administrator in a busy commercial organization, the public sector, or a charitable organization, managing a varied workload. Experience of using database management systems to produce regular reports and track activity e.g. Salesforce applications. Excellent organizational skills with an ability to prioritize activity to meet deadlines. Strong IT skills. Advanced Excel and PowerPoint skills would be particularly useful. Keen to work systematically to maintain and develop effective processes and systems. Good communication skills, both verbal and written, with the ability to establish good working relationships with a wide range of people at all levels. A team player, able to work well within a team and influence others to take action. Proactive and self-motivated to maintain accurate data and produce timely, high quality reports. Interested in the particular issues relating to communities in Cheshire and motivated to help make a difference. Honesty, integrity, discretion, and trust.
