This role supports the co-ordination of documentation, resources, plant and equipment for the efficient running of the Pipeline Testing Services (PTS) business. Aids all sales enquiries through to final tendering stage. Responsible for day to day control of all documentation and deliverables.
The role:
* Documentation control and coordination, writing and assistants with templates ready for technical review and sign off as required
* Completes daily co-ordination meeting chairing co-ordination duties with instruction for management team
* Daily administration of online files and processes- upkeep of registers & control documentation
* Organises logistics and accommodation for nationwide workforce following staffing plan co-ordinated with management team
* Aids estimates budget pricing for works based on durations and manning levels provided by Operations Manager & or PM
* Sources suppliers, obtains quotes and creates purchase orders for materials for projects as required ensuring best value for money as required
* Liaises with Quantity Surveyors to ensure internal and external clients are accurately invoiced each month and any additional spend is identified and billed in a timely fashion
* Provides Head of PTS with a weekly invoicing report to help provide visibility of progress
* Aids stores and yard manager proactively reviewing Plant reports to ensure hiring and off-hiring is managed in a timely fashion - works closely with Plant to ensure smooth process and accurate charging
* Collates Daily Allocation sheets, validates against operational data and transfers on to wages sheets for submission to Payroll ensuring a clear and accurate audit trail - acts as a point of contact for Payroll for any queries relating to the submission
* The role will also encompass similar duties within the Specialist Welding Services (SWS) business which share the same facility and work with SWS will be required from time to time
* All admin tasks as required - reports, scanning, compilation etc
