Job Description

1. Prime Responsibility / Role Summary

An exciting opportunity has arisen for an enthusiastic and motivated individual to deliver administration support to our executives. Reporting direct to the CEO and supporting all Board members we are looking for a competent Executive Administrator to provide personalized secretarial and administrative support in a well-organized and timely manner. You will work on a one-to-one basis on a variety of tasks related to executive’s working life and communication. The candidate must be flexible to meet the demands of our growing organization. The ideal candidate will have impeccable organizational skills, and prior experience in a similar role

2. Duties and Responsibilities

- Act as the point of contact between the executives and internal/external clients

- Undertake the tasks of receiving calls, take messages and routing correspondence

- Handle requests and queries appropriately

- Maintain diary, arrange meetings and appointments, and provide reminders

- Make travel arrangements

- Take dictation and minutes and accurately enter data

- Monitor office supplies and research advantageous deals or suppliers

- Produce reports, presentations, and briefs

- Develop and carry out an efficient documentation and filing system

4. Safety Specific Responsibilities

5. Working Conditions

Generally, office based, but may need to be site based at times to suit the project, must be prepared to travel, work some weekends and be away from home at times to suit location of sites.
