Job Description

  • Under the direction of the Ensis Office team, you will carry out a wide range of Data and Administrative support tasks necessary to provide effective and flexible support to meet contractual requirements and facilitate the efficient delivery of Ensis programmes. This is an exciting position working closely with operational staff, learners and employers across the country. You will contribute to and implement administrative strategy, plans and further development necessary to deliver administrative and operational capability, operational excellence and to meet agreed organizational performance targets within agreed budgets and timescales.

2.1 Main Duties and Responsibilities

· making phone calls to both Employers and Learners to make appointments, arrange collection of paperwork and carry out Learner voice

· Act as the primary interface with key operational staff to facilitate/provide effective information flow.

· Act as the primary interface with employers and candidates to ensure effective, high quality Customer Service levels and effective information flow between the same.

· Provide first line administrative support for:

. Ensis regional teams/Tutors/Managers and their candidates

. Special project staff and their clients

· Act as the primary focus for all incoming queries to Ensis relating to learners. (Maintain a log, investigate, take action and follow up as necessary to ensure a satisfactory outcome for all stakeholders).

· Proactively ensure timely and effective liaison with other Ensis business areas and external stakeholders to effectively meet the requirements of the contract and Ensis business aims.

· Ensure that all administrative paperwork is submitted to KPI deadlines and verify the integrity of all such paperwork prior to inclusion in Ensis records and systems; this is to be achieved through the implementation of effective auditing, monitoring and cleansing processes (quality assurance).

· Ensure that adequate supplies of correctly versioned documentation for learning, assessment and administration are available and control the issue/distribution of all such consumables.

· Plan for and ensure: efficient, cost effective, time and resource management.

· Manage paper and computer based filing systems.

· Ensure timely accurate data submission to ACE.

· Deal with internal, incoming and outgoing post and emails.

· Prepare for, receive, book in and welcome visitors.

· Oversee and maintain the security, efficiency and tidy appearance of a busy office.

· Comply with all instructions relating to the security and maintenance of company equipment (including personal issue equipment).

· Other duties as necessitated by role in order to meet business objectives.
