Job Description

We are currently working with a well-established and highly successful Manchester business, looking to capitalize on growth within its discounted retail and major multiples channel and as such is actively recruiting for a Sales Administration Manager to manage and progress the sales administration team.

Reporting to the Sales Director, the main purpose of your role is to o oversee the company's Sales Order Process, ensuring that all customer orders are processed and dispatched in a timely and cost-effective manner, within the relevant legislative and customer guidelines and with the correct documentation, and ensuring optimum OTIF levels (95%+) and customer satisfaction

  • Motivate and lead the Sales Administration team, setting objectives and conducting appraisals
  • Produce appropriate management reports and KPI's as required
  • Liaise with internal departments and external suppliers to ensure all orders are processed correctly and within agreed time limits
  • Communicate and liaise with the sales department, including field sales team, as required
  • Work towards improving systems and processes in line with ISO9001
  • Work with the Warehouse team to ensure orders are dispatched on time
  • Liaise with credit control to ensure orders are correctly processed according to credit status
  • Accurately process customer pro forma invoices and sales orders on the system, communicating progress to the customer appropriately and in a timely manner
  • Build and foster relationships with customers, taking a lead role in the resolution of any customer queries or other problems as they arise
  • Raise and track any customer credit notes, within company guidelines
  • Stock availability checking and liaising with the inventory controllers as necessary
  • Order scheduling and tracking
  • Manage EDI processing systems
  • Price List and promotions maintenance
  • Managing item replacements and substitutions
  • Ensure the accurate provision of all required documentation for export shipments (certificates of origin, letters of credit etc.)

Required Knowledge, Skills, and Abilities
Experience of managing a Sales Order Processing team, with proven ability to motivate and lead. Experience of working in a busy customer service environment with excellent customer service skills. Experience with processing orders received from major UK multiples through EDI beneficial. High level of IT and computer skills, including sound knowledge and understanding of ERP sales order systems, and Microsoft Excel. Experience of presenting management reports and KPI's to senior managers, colleagues and the wider business. Experience of shipping Dangerous Goods, including the preparation of DGN's. Customer focused but commercially minded. Highly organized and calm under pressure, with the ability to priorities conflicting deadlines within a fast paced environment. Advocate for change & growth, seeking to continuously improve and update the Sales Admin process and systems. Excellent attention to detail. A team player with a flexible approach to work. Displays pride, energy and ownership in performance of role. Detail focused, able to solve complex problems. Concise, clear and timely communication skills to enable close working relationships with internal functions and external suppliers and customers. Strong analytical & numerical skills. Knowledge of and experience with current Incoterms (ExW, FOB etc.), and shipping types (LCL, FCL etc.) desirable. Knowledge of Export legislation and required documentation desirable.
