Key Responsibilities and Accountabilities:
1. Business Processing:
• Check accuracy and completeness of new business documentation
• Ensure that all business applications are processes accurately and efficiently, in a compliant manner to the firms standards
• Ensure all supporting documentation is maintained as per company procedures
• Record fees
• Ensure all work is followed up promptly in line with company standards
• Send letters of authority, gather accurate information and pass to paraplanner for analysis
• Obtain illustrations and application forms
• Portfolio valuation production
• Ensure fund switches / rebalances are carried out accurately and within company timescales
• Prepare packs for potential new clients
2. Client maintenance:
• Provide an efficient, friendly, and professional point of contact for clients and enquiries, by phone, email and in person
• Deal and allocate accordingly incoming post
• Input and maintain accurate client records on the back-office system, Platform and any other IT systems e.g. cashflow & risk profiler
3. Review:
• Organising client review meetings by phone, email and in person
• Prepare client review pack including valuations & supporting paperwork
• Support paraplanner & financial planner in delivery of review
• Implement agreed actions in coordination with the paraplanner
4. General:
• Filter general information, queries, phone calls and invitations to planners by redirecting or taking forward such contact as appropriate
• Other duties as directed by management
PERSONAL SPECIFICATION
EXPERIENCE
At least 2 years experience working as an IFA administrator
At least 2 years working within a financial planning environment
QUALIFICATIONS
Certificate in Financial Planning or equivalent
KNOWLEDGE
Microsoft Word, Excel and electronic diary management
Financial Services back office systems
Advanced Excel
Knowledge of Financial Services Products
