Job Description

Supporting the NHS SBS Managing Director as part of a Managing Director’s office with this post being primarily responsible for diary management.
Acting with the highest degree of confidentiality, sensitivity, and discretion, we are looking for an extremely organized individual that is accustomed to managing busy diaries with a fast pace of change and dealing with a range of stakeholders.

Key Responsibilities

  • Maintain and manage the diary of the NHS SBS Managing Director
  • Organize all meetings in accordance with any time critical activities;
  • Manage all changes to the diary in a timely manner;
  • Organize all travel taking into account any cost saving possibilities;
  • Arrange appropriate accommodation where required, in accordance with company guidelines;
  • Process all expenses and mileage claims;
  • Provide support to the wider Team as agreed;
  • Manage your own workload with minimum supervision;
  • Provide administrative support to the Team as required;
  • Perform ad-hoc project work as requested;
  • Review all Expense submissions on behalf of the NHS SBS Managing Director;
  • Approve and manage all holiday requests made within the team to ensure appropriate team coverage;
  • Raise all Purchase Orders and New Supplier set ups
  • Support in compilation of reports and meetings as required;
  • Review and approve timesheets

Required Knowledge, Skills, and Abilities
Previous experience as a Personal Assistant in a fast paced environment including strong diary management experience. Proficient in Microsoft Office - all tools including Excel, PowerPoint, SharePoint; High attention to detail; Strong written and verbal communication skills at all levels; Ability to work with minimal supervision and to use own judgment to resolve problems; Flexible in approach to work and hours with high energy levels and a positive/ can do attitude; Able to handle confidential and difficult topics professionally.
