Job Description

PA / Secretary you will be responsible for the day to day Diary management and task delegation on behalf of your line manager, The role requires excellent communication and writing skills, on a daily basis you will be responding on behalf of a senior manager to internal and external customers this will require a high level of diplomacy and tactful decision-making. In addition to this you would be putting together presentations on PowerPoint and also managing social media accounts.

The role varies greatly with different levels of responsibility and requires the upmost confidentiality as you would be managing sensitive personal and business information, although the role is based in our offices based in Kingsbury it will require occasional traveling to attend meetings along with you manager or on behalf of your manager. Team work, reliability and honesty are a must. Since the work is always focused on the needs of the manager, deadlines may be imposed suddenly, demanding flexibility and reprioritization of workload.

Duties

  • Organizing line manager’s diary both work and Personal
  • Arranging meetings and appointments.
  • Dealing with correspondence & mail
  • Preparing reports.
  • Organizing and attending meetings.
  • Taking minutes at meetings.
  • Screening phone calls.
  • Arranging travel plans.
  • Taking on some of the responsibilities of an office manager.
  • Providing administrative support.
  • Looking after visitors.
  • Arranging refreshments for clients and visitors
  • Doing confidential work for their managers.
  • Submitting and authorizing expenses.
  • Booking hotel rooms, restaurants, theatre tickets, etc., for corporate entertaining.
  • Deputizing in their manager's absence.
  • Arranging company events & team building exercises.
  • Managing marketing initiatives set by the line manager.

Experience:

  • Microsoft PowerPoint: 1 year (Preferred)
  • Microsoft Word: 2 years (Preferred)
  • Microsoft Outlook: 2 years (Preferred)
  • Microsoft Excel: 3 years (Preferred)

Schedule:

  • 8 hour shift

Required Knowledge, Skills, and Abilities
Have very strong communication skills. Have an excellent command of the English language and grammar. Have outstanding organization skills. Have good IT skills. Be able to work to tight deadlines and manage several projects at any one time. Be able to priorities their workload. Be able to work with members of staff at all levels. Pay attention to detail. Be flexible. Be able to use their initiative. Be discreet and tactful. Be honest, reliable and committed. Very good Internet research Skills.
