Job Description

You will provide administrative support to the corporate management of the Unity Health Group. Excellent organizational skills are essential for this role, along with the ability to work un-supervised using your own initiative. You will need to be able to develop strong working relationships with colleagues at all levels and communicate well with Directors and staff within the Unity Health Group. A pro-active, flexible and professional approach to your work is vital. You will be confident, enthusiastic and deeply committed to providing a high-quality service. You will also be responsible for working with key colleagues to ensure that corporate administration function within Unity Health Group is of the highest standard.

Duties and responsibilities:

  • To provide administrative service to the UHG Board and Information Governance Steering Group. These duties to include: Preparation of agendas and meeting papers, keeping minutes at the UHG Board and Information Governance Steering Group, supporting Board members in their corporate activities, arranging venues any travel for corporate business.
  • Developing and maintaining an accurate electronic filing system of corporate records, including but not limited to minutes, central contracts and key corporate information.
  • Take responsibility for specific events and projects as requested.
  • Carrying out general clerical duties to include filing, typing, photocopying and scanning.
  • Diary management for Directors and senior UHG staff,
  • Maintain and secure corporate correspondence, records and documents.
  • Process incoming correspondence and respond appropriately.
  • Resolve administrative enquiries/inquiries and prepare written responses to these.
  • Maintain internal computer records and filing systems.
  • Ensure up to date knowledge of policies, procedures, services and relevant legislation.
  • Any other duties commensurate with the role.

Part-time hours: 16 per week

Required Knowledge, Skills, and Abilities
Ability to liaise with staff across the organization in a pleasant and effective manner. Ability ot deliver first class administrative processes. Work with a high level of integrity as you will have access to confidential records and information. Ability to demonstrate strong customer focus. Ability to be self-motivating, innovative and work without supervision. Attention to detail and a high level of accuracy. Ability to work to deadlines and priorities workload. Excellent computer skills including Word, Excel, MS Outlook, PowerPoint. Ability to learn new systems and introduce innovation. Excellent typing and keyboard skills. Ability to take and record accurate minutes. A good level of English language and grammar.
