Job Description

We are recruiting an Administrative Officer to work alongside our housing and property teams to provide support by answering telephone calls into the organization, manage electronic data files, produce letters and mail merges, manage post, invoicing, collect and collate survey data and provide excellent customer service.

Key responsibilities will include

  • Helping the housing income team to manage Housing Benefit notifications and Council Tax invoices.
  • Assisting in the management of Encircle customer enquiries and repairs inbox.
  • Liaising with works contractors to issue jobs, chase repairs and complete invoicing.
  • Collecting, collation and inputting of customer satisfaction survey data and customer insight data.
  • Providing administration support for the Housing and Property Management team.
  • Producing letters, reports and mail merges.
  • Monitoring, authorization and chasing of invoices from contractors and service providers to ensure prompt payment and allocation of budget.
  • Administration of electronic file management system.
  • Scanning, uploading, organizing and disposal of paperwork in accordance with procedure and data protection policy.
  • Supporting colleagues to answer the general enquiries line, customer repairs and maintenance helpdesk during period of high demand or to cover for staff absences.
  • Ensuring that appropriate publicity material is available to promote the Association and our homes.
  • Updating the Associations website as required to promote Encircle services.
  • Assisting in the preparation of guidance leaflets, newsletters and easy ready documentation to support the delivery of Encircle’s Tenant Involvement Strategy.

You should have excellent administrative skills and previous experience in an administrative role and in a customer service environment. Previous experience of working for a Registered Social Landlord or Housing Association and experience in the supported living sector would advantageous.

You should be a good communicator and able to demonstrate empathy with tenants with complex care and support needs. You should be able to manage your own workload and remain calm in a pressurized environment.
