Job Description

You will be a key member of the Operations team collaborating with stakeholders at all levels across the business, both internally and externally.

To take day to day ownership for the office facilities contracts, process and procedures:

  • Day-to day management of the premises
  • Liaison with the landlord, including ensuring rent is paid in a timely manner
  • Responsibility for the office cleaning services
  • Ensuring Business rates are paid
  • Manage office supplies inventory and place orders as necessary

Manage the team to maintain the office financial systems and records, to include:

  • Working with outsourced financial accounting team to ensure payment of suppliers
  • Processing staff and directors’ expenses to ensure payment in a timely manner
  • Responsibility for raising New Supplier ensuring compliance with company process/ policy and procedures

To develop and manage a timeline/roadmap for all office and H&S deliverables, setting out an annual timetable to help ensure the company meet their respective obligations in a controlled and timely manner.

To support the Head of Support Services in a range of projects, such as office layout planning and office moves taking on the day to day ownership and development of deliverables as and when required. Assist with maintaining IT infrastructure.

Drive effective office solutions, working with other business stakeholders to define appropriate solutions.

Develop and construct highly professional office policies and procedures, and ensure they are implemented and maintained appropriately through change and review cycles.

Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, and creating reports.

Required Knowledge, Skills, and Abilities
Experienced Office/Facilities Manager with a minimum of 3 years actively working in office/facilities management who can demonstrate stakeholder management skills across all levels of business. Experience of relationship management with outsourced suppliers within an office environment Experience of managing direct reports and working with others within a matrix formation. Ability to work under own initiative, working to a high-level brief and delivering alternative/appropriate solutions for management review and consideration. Solid foundation in Office/Facilities Management and solid knowledge and experience of Health and Safety within the workplace. Ability to manage deliverables to time and budget with strong problem-solving skills and analytical abilities Ability to manage workload with competing priorities and frequent interruptions that require urgent attention Proficient in MS Office and possesses outstanding writing skills and demonstrates first-class attention to detail. Has developed interpersonal and collaborative skills with the ability to communicate effectively, whilst being able to deal with challenging situations and relationships with key stakeholders Ability to quickly establish and where appropriate further develop effective relationships with key internal and external stakeholders Ability to work responsibly in dealing with confidential/sensitive information Highly motivated to add value, deliver and exceed expectations. Strong professionalism with high standards and quality of work output.
