Our client is a specialist law firm covering all aspects of construction, engineering, and commercial property. They are seeking to appoint a Legal Secretary on a 12 month contract - covering mat leave.
As a Secretary reporting to the Directors, your overall responsibility will be to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety, to ensure the smooth running of the office and help to improve company procedures and day-to-day operation.
Duties / Responsibilities: -
Receiving inbound telephone calls and transferring/taking messages as appropriate
Meeting & greeting visitors to the office
Audio transcription, copy typing and formatting documents
Production of substantial word and excel documents
Completion of Court and Land Registry forms
Producing invoices for clients and dealing with supplier’s invoices
Dealing with travel arrangements
Diary management
Collation and management of information/data from time recording and billing
Handling post and ordering office supplies and equipment
General office administration support e.g. photocopying, filing, opening files, archiving, managing incoming post, management of external services (cleaning etc.)
Delegation to and management of junior staff and trainees
Ad-hoc duties

Required Knowledge, Skills, and Abilities
Proven, successful experience working as a Secretary (preferably 4 years+ experience). Experience working in a legal firm would be advantageous, though not essential. Proficient in MS Office, especially Excel, Word and Outlook. Detailed knowledge of track changes in Word and using Adobe Acrobat or similar.
