Job Description
The role will provide accurate and timely administration and information management by controlling the numbering, filing, sorting and retrieval of electronically stored or hard copy documentation produced by project, design teams, consultants and subcontractors on a project(s).
- Ensuring that all relevant EDMS project protocols are issued to the project team, design teams and sub-contractors and adhered to.
- Providing quality assurance (QA) check all information coming onto the system daily and process in accordance with the EDMS project protocols.
- Creating, managing and updating the EDMS document issue groups as per the agreed distribution matrices.
- Maintaining the project work package list and ensure documents are being assigned to work packages and as per the Mace guidelines
- Running weekly reports on overdue actions and exceptions for design team, sub-contractors and Mace managers.
- Conducting weekly audits of EDMS system to ensure all information has been captured, checked and distributed correctly.
- Administering the EDMS system to ensure companies and users have been added to the system and their permissions set up correctly and as per the Mace guidelines.
- Publishing outgoing instructions on Conject CMS to sub-contractors as required by the project commercial team.
- Assisting the Mace Manager with any problems in issuing or close out of RFI’s and producing weekly RFI overdue action reports and chase up actions.
- Setting-up and ongoing management of project snagging system.
- Collating information and creating tenders on EDMS using the customised tender forms, as per the Mace process guide and Commercial Manager guidance.
- Providing on-site training and assistance to project, design teams and sub-contractors.
You have a relevant ONC/HNC or degree qualification. You will have document management experience. You are digitally savvy, can build lasting relationships and will provide support to multi-disciplinary teams. You have experience working within a construction or consultancy background and be hungry to grow your career and enjoy the opportunities Mace has to offer.
