Job Description
The purpose of the role:
At company we help families source, secure and then employee nannies to work in their homes. Until recently we outsourced our payroll function, but in expectation of a period of rapid growth we have migrated payroll in-house. In the next 12 months we expect to double our service offering for ‘after-school’, resulting in our payroll team managing payroll and pensions for more than 2000 families and nannies on a monthly basis.
We require a second payroll administrator to set up and run our families’ PAYE schemes, process hours submissions, and deal with customer queries. You will have responsibility for the quality and accuracy of all our payroll work whilst ensuring payroll checklists are completed.
Some of your monthly tasks will include:
- Setting up, operating, and closing PAYE schemes on behalf of our families.
- Processing timesheet submissions to calculate family invoices and nanny payslips.
- Calculating and processing monthly nanny pay and HMRC contributions on behalf of our families.
- Processing reports and obligations, including P45s, P60s, P32s, Statutory Maternity Pay (SMP), Statutory Paternity Pay (SPP), sick pay, and standard quarterly and year end procedures.
- Submitting declarations of pension compliance and setting up / administering new pension schemes.
- Providing customer support to our families and nannies over the phone and email to troubleshoot any payroll or tax issues.
- Invoicing families, getting approvals and chasing outstanding payments.
- Creating and reconciling bills against payments.
- Debt recovery.
- Administering integrated platforms including GoCardless and Xero.
What success could look like:
Payroll should be a stand-alone function. Our measures for success include:
- % Payroll error per month.
- Volume of customer enquiries. Supporting and upskilling our CS team, you’ll increase instances of ‘first resolution’ and reduce multiple contacts on single issues.
- Efficiency for onboarding new starters: currently 100-150 new PAYE schemes per month; 100-150 new relationships per month also require payroll without PAYE.
- Overall customer satisfaction.
What you’ll know:
- You’ll definitely need to have working knowledge of payroll systems & how PAYE works.
- Your background could be from accountancy, payroll or temp agency dealing with multiple employers and employees.
- Each family is an independent employer, so experience operating multiple concurrent PAYE schemes is highly advantageous.
What you’ll be able to do:
- You’ll feel confident calculating pay, creating invoices and bills, processing PAYE forms, and advising on more complex payroll cases.
- You’ll be comfortable administering pension and statutory payments such as sick pay and maternity and where required deal with expenses and benefits.
- Issue P45s, P60s, P11Ds etc.
- You’ll be proficient using Google Sheets, Excel or something similar.
- You’ll know Accounting software like Xero, QuickBooks, or Sage.
- You’ll be confident with a payroll software such as Sage, ritepay, moorepay etc.
- Experience with payroll in the childcare sector would be an advantage.
- Any CIPP (Chartered Institute of Payroll Professionals) or IAB (International Association of Bookkeepers) certifications a plus.

Expected Salary Range: £20,000 - £30,000
