Job Description

Responsible for SSAS administration and servicing work for clients, consultants, Associate Directors and Directors.

Key responsibilities:

Administration and Servicing

  • Setting up new SSAS business.
  • Servicing work for existing Clients.
  • Producing scheme documentation, including loan documents.
  • Benefit calculations for retirements.
  • Annual benefit reviews.
  • Dealing with all aspects of commercial property transactions, including property purchases, rent reviews, lease renewals and general property management.
  • Producing scheme valuations.
  • Liaising with HM Revenue & Customs on reporting requirements.
  • Dealing with Data Protection and Pension Regulator renewals
  • Updating of Advisor Office database and OMNI databases, including posting of bank transactions
  • Ensuring work meets file and compliance procedures.
  • Dealing with complex cases and problem solving

Client Responsibilities

  • Answering Client queries and building a rapport with your allocated clients
  • Dealing with complex Client requests.
  • Dealing with clients by telephone, e mail and in writing
  • Dealing with client requests in a timely and professional manner
  • Referring to consultants, associate director / director where appropriate

Financial

  • Assisting with banking reconciliations.
  • Assisting with production of fee invoices.

Compliance/Technical

  • Adhering to Anti-Money Laundering, DPA and Compliance procedures
  • Accurate record-keeping of all verbal or written communication with clients and third parties

General

  • Helping with management of work flow and ensuring backlogs are minimized.
  • Other reasonable duties as requested.
  • Complete work log (HP) timesheet.
  • Maintain technical knowledge on SSAS taxation, practice and investments.

Key Competencies:

  • Planning and Organization - required to balance the varied demands of the role to ensure deadlines are met and backlogs are minimized.
  • Customer Focus – the SSAS team deals with many key clients of the business and the service standards must be high.
  • Results Orientation - the work processed underpins the business both in client retention and income. Backlogs directly affect the business profitability. Fee invoicing is a key aspect of the SSAS team operation.
  • Teamwork - SSAS team members need to work together to achieve results particularly at times of high work volumes, such as tax year end and reporting deadlines.
  • Technical Expertise - the senior administrator needs to have good pension’s technical knowledge and a good understanding of commercial property transactions and have the ability to transfer this knowledge to the team.
  • Use of IT - key to ensuring work is processed efficiently. Strong knowledge of Adviser Office and OMNI is advantageous.

Required Knowledge, Skills, and Abilities
Relevant professional qualification(s) desirable. Previous experience dealing with SSAS (or SIPP) administration within a financial services organization. Working knowledge of commercial property transactions is essential. Good technical understanding of pension legislation affecting self-invested pension schemes. Good time management and organizational skills. Good teamwork skills and decision making abilities. Good communication skills. Ability to work well in pressurized environment with the ability to priorities. Working knowledge of Microsoft Office packages.
