Job Description

The ideal candidate possesses mature judgment in tackling initiatives with minimal direction whilst maintaining confidentiality in their work.

Responsibilities

· Provide administrative support with both high-level and day to day tasks

· Support with the 3 directors diary management – manage calendars and prepare for meetings

· Co-ordinate director’s outstanding tasks and ensure their priorities are organised

· To be an effective communicator, both verbally and with written correspondence

· Liaising with colleagues internally and various external stakeholders on behalf of the directors

· Possesses the ability to complete complex tasks and projects quickly with little to no guidance

· Exceptional attention to detail and organizational skills

· To react with appropriate urgency to situations that require a quick turnaround – ability to priorities is essential – priorities will often change throughout a typical day or week

· Tracks and helps drive completion of key deliverables and follows up on outstanding items

· Works well, and maintains a positive attitude, when under pressure and in a rapidly changing environment

· Requires little instruction on day-to-day work and general instruction on new assignments

· Successfully coordinate any travel requirements for directors and other office team

· Assist and support with budgets, credit control and other financial planning as required

· Coordinates all office activity of Head Office in Kirkcaldy (and any other sites as required) supporting smooth running.

· Arranges any required IT / telephony / security etc. elements, as required

Required Knowledge, Skills, and Abilities
· 5+ year’s experience in an executive administration role · Excellent verbal and written communications skills · Exemplary planning and time management skills · Ability to multitask and priorities workload daily · Strong attention to detail, accuracy, confidentiality and ability to meet deadlines · A passion to learn, to contribute and to reinforce the culture throughout your interactions · Discretion and confidentiality · Excellent knowledge of MS Office · Enhanced knowledge of IT systems (not essential
