Job Description

The Office Manager will be responsible for organizing and managing the office systems, providing administrative support whilst being responsible for the organizational financial processes. This role will also oversee the administration (including financial) of a European funded project.

  • Maintaining an efficient book-keeping system dealing with all income and expenditure of the Organization. Preparing and issuing invoices, processing accounts for payment, producing monthly financial summaries, bank reconciliations etc. Liaising with Treasurer and National Director on financial matters. Dealing with all queries regarding invoices etc. Assisting in preparation of budgets.
  • Experience of using Sage accountancy systems.
  • Controlling stationery stock and ordering materials
  • Ensuring payment of monthly salaries on 30th of the month (calculated by accountants) and payment of income tax and national insurance to HM Revenue & Customs each month. Maintaining adequate records and ensuring that all necessary financial returns are completed.
  • Completion of Charity Commission Annual Returns in conjunction with National Director.
  • Maintaining a CRM system.
  • Providing secretarial duties to support the work of senor staff ie general correspondence, reports, fundraising bids, preparation and distribution of minutes and agendas for the various committees.
  • Answering telephone, dealing with queries on a wide variety of subjects
  • To promote and support projects/initiatives identified by Boys and Girls Clubs of Wales

Required Knowledge, Skills, and Abilities
Hold a recognized accountancy qualification. Experience of undertaking financial and administration role. Experience of using Sage accountancy software. Experience of working with other agencies including statutory sector youth service. Experience of reporting on European funded projects.
